Most authors design their Canva graphics one at a time, which means every quote card, review snippet, and launch teaser is its own session. If you have a book with thirty pull-worthy lines, that is thirty separate files, thirty separate downloads, and a significant block of time spent on production work that has nothing to do with writing. Canva’s Bulk Create feature is the batch processing answer to this problem, and most authors have never opened it because it sits in the Apps panel with no obvious signpost.
This post covers what Bulk Create does, what authors can actually use it for, how the workflow runs from start to finish, what breaks, and how to fix it.
What Bulk Create actually does
Bulk Create connects a Canva design template to a spreadsheet of text. You design one graphic, mark the parts that change (your quote, your reviewer’s name, your countdown number), upload a CSV file with all your variations, and tell Canva which column maps to which text box. Click generate, and Canva opens a new document containing every version as a separate page, ready to download.
The same logic works on video templates. If you use a looping five-second video as your background rather than a static image, the output is a set of individual video clips rather than static graphics, each one ready to export as an MP4.
The time investment is front-loaded. Building your template and preparing your spreadsheet takes longer the first time than subsequent runs. Once the template exists, a new batch with updated content takes a few minutes.
What authors can use it for
Quote and dialogue cards. This is the most direct use case. Collect your best book lines, dialogue exchanges, or narration passages into a spreadsheet and generate the whole set at once. A thirty-quote spreadsheet runs in under two minutes. Consistency is an added benefit: every card uses exactly the same template, which means your social grid looks intentional rather than assembled piece by piece over several months.
Reader review graphics. Paste five-star reviews or editorial snippets into your spreadsheet. One Bulk Create run and you have a uniform set of endorsement cards you can schedule across the whole year.
Character introduction cards. For series with large casts, a card template with character name, role, and a one-line description covers the whole cast in one session. These work particularly well as evergreen content between releases.
Launch countdown graphics. A countdown series (ten days to launch, nine days…) is a low-complexity use case: one template, ten rows in a spreadsheet, ten graphics. The template stays the same, the number changes.
Short-form video. The one most tutorials skip. Use a five-to-seven-second looping ambient video as your background instead of a static image (a candle, rain on glass, a forest path), then place your text overlay on top and run Bulk Create on the whole template. The output is a set of individual video clips, each with a different line of text. Download as separate MP4 files and you have a week of Reels or TikToks from a single build session.
Multi-slide carousels. This requires more setup but produces the most content per build. Because Canva replicates the entire project structure for each spreadsheet row, a six-slide carousel template generates a complete carousel for every row in your data. A five-row spreadsheet with a full set of carousel text produces five separate carousels at once. The spreadsheet needs a separate column for each slide’s text, and each column maps to the corresponding slide during setup.
How to set it up
Step 1: Prepare your data
Open a spreadsheet in Excel, Google Sheets, or Numbers. In the first row, create your column headers. These are the field names Canva will use when you map your text boxes: Quote, Reviewer, Day_Number, or whatever fits your content. Keep headers to plain text only. No spaces, emoji, or punctuation symbols in the header row.
Fill in your rows. Try to keep string lengths reasonably consistent within a column. A column where one entry is eight words and another is eighty words will create sizing problems in the generated output. If your quotes vary widely in length, consider running them in two batches grouped by approximate length.
When your data is ready, export it as a CSV file. Canva does not import Excel .xlsx files, Numbers files, or any format other than .csv. In Excel: File > Save As > CSV. In Google Sheets: File > Download > Comma Separated Values.
If you have fewer than fifteen items, you can skip the spreadsheet entirely and use Canva’s manual entry option instead.
Step 2: Build your template
Design one version of the graphic. Set your background, place your book cover or branding elements, and add anything that stays the same across all versions (your website URL, your social handle). Then add text boxes for the fields that will change.
Use obvious placeholder text in those boxes so you know what each one is for when you come back to map your data. "Reviewer quote here" and "reviewer name" are clearer than "Text 1" and "Text 2."
Two setup details that will save you trouble: first, make your variable text boxes as wide as possible within your design. Canva resizes text to fit when a data entry is longer than the box comfortably holds. Wider boxes give longer strings more room before the text starts to shrink. Second, do not group your variable text boxes with other design elements. If a text box is inside a grouped object, the "Connect data" option will not appear when you right-click it. Keep them ungrouped, or use Ungroup in the top menu to isolate them before mapping.
Step 3: Open Bulk Create
In the Canva editor, click Apps in the left sidebar. Search for "Bulk Create" and select it from the results. The app panel opens on the left.
Click Upload CSV and select your file. Alternatively, use "Enter data manually" to type your rows directly into the table Canva provides. Once your data is loaded, you can see the rows in the panel.
Step 4: Map your data to the template
Return to your canvas. Right-click the first variable text box. You should see a "Connect data" option in the menu. Select it, and choose the column from your spreadsheet that belongs in that field. The text box will display the column header name in purple brackets: [Quote].
Repeat this for each variable text box in your template. For a multi-slide carousel, navigate to each slide individually and map the text box on each slide to its corresponding spreadsheet column.
If "Connect data" does not appear in the right-click menu, two things to check: the CSV has not fully loaded yet (wait a moment and try again), or the text box is grouped with another element (select it and use Ungroup, then try again).
Step 5: Generate your designs
Click Continue in the Bulk Create panel. Canva displays a checklist of your data rows with checkboxes next to each one. Deselect any rows you want to skip. Click Generate [X] designs. Canva opens a new project tab with all the generated pages, one page per data row.
What goes wrong and how to fix it
Text overflow or very small font sizes usually mean one entry is much longer than the others. Canva automatically shrinks the text to fit the box. After generating, scroll through the output, find the outlier entries, and manually adjust their font size on those specific pages. This is faster than adjusting the spreadsheet and regenerating.
If the CSV will not upload, the most common cause is the file format. Re-export strictly as .csv. Check that your header row (Row 1) contains no emoji, commas inside cells, or special characters. Headers like Quote, Source, Tag work. Headers with emoji or punctuation embedded in them will cause problems.
If "Connect data" is not appearing when you right-click, the text box is grouped with another element. Select it, check whether Ungroup appears in the top menu, ungroup it, click away to deselect everything, then right-click only the text box on its own.
For multi-slide carousels where slides are not mapping correctly: each slide in a multi-slide project maps independently. Navigate to each slide and map its text box manually. If you try to map everything from Slide 1, the other slides will not receive data. Map slide by slide in order. Leave any static slides (like a CTA slide with a fixed book cover graphic) unmapped.
Exporting your output
For static graphics, download as PNG or JPG. For video templates, download as MP4 and check the setting to download pages as separate files. Without that option, Canva stitches all your pages into one long video rather than giving you individual clips.
The generated document may contain thirty, fifty, or more pages. You can download them all at once, or select specific pages if you want to stagger publishing over time.
A note on the setup investment
The first time you build a Bulk Create template from scratch takes longer than the payoff might seem to justify. The second and third time, with the template already built, a new batch is a few minutes of data prep and a few clicks. Most authors who build it once end up returning to the same template for a year or more, updating the data and re-running rather than building from scratch each time.
