How to Add Your Marketer as a BookFunnel Team Member

When you work with a book marketer on an ARC campaign, they need to build your campaign, upload your files, and manage reader delivery inside BookFunnel. The clean way to give them that access is to add your marketer to BookFunnel as a team member, not to hand over your login. A team member signs in under their own email and gets full access to your books and campaigns, while your billing and subscription stay locked to you. This guide covers how to send the invitation, what a team member can and cannot do, and the invite detail that catches most authors out.

Why a team member, not your password

Sharing your BookFunnel login feels faster, but it causes problems within the first week. Two people on one account get logged out of each other’s sessions, and the day you reset your password, your marketer loses access without warning. A team member invite avoids that. Your marketer gets a separate sign-in tied to their own email, works alongside you rather than instead of you, and never needs your password. Your billing details stay private, because team members cannot see them.

What a team member can and cannot do

A BookFunnel team member gets near-complete access to your account. They can add and remove books and audiobooks, create landing pages, build and manage Certified Mail ARC campaigns, and connect your email service integrations. What they cannot touch is billing: they cannot see your card details, and they cannot change or cancel your subscription. Only you, as the account holder, can do that. There are no partial permission levels to pick from, so you do not need to decide what to switch on. Access covers the whole account except billing.

What you need before you start

Your marketer’s email address, and a quick check of which email they want to use. Team member access is a standard account feature. The ARC campaign your marketer will build needs your account on the Mid-List Author plan or higher, because that is where Certified Mail, the secure watermarked ARC delivery, lives. If you are not sure which plan you are on, Which BookFunnel Plan Do Authors Need for ARCs? covers how to check and what to choose.

How to add your marketer to BookFunnel

Step 1: Log in and open your Account page. Go to bookfunnel.com, sign in, and open your Account settings.

Step 2: Find Invite New Team Member. This is on your Account page.

Step 3: Enter your marketer’s email and your name. Use the exact email address your marketer gave you.

Step 4: Click Invite New Team Member. BookFunnel emails them an invitation link.

Step 5: Ask your marketer to accept within three days. The link lets them create their own login, or attach access to their existing BookFunnel account. Once they accept, they appear on your Account page and can start work.

What to Watch Out For

The invite link expires after three days. If your marketer does not accept in time, the link stops working. You do not need to start over. Go to your Account page and click Resend next to their pending invitation to send a fresh link.

Send the invite to the exact email your marketer uses. If they already have a BookFunnel account, the invitation should go to that same address so access attaches cleanly. Confirm the address before you send, rather than guessing.

Remove access when the work ends. For a one-off campaign, remove your marketer as a team member once it closes. Your billing was never exposed, but keeping account access matched to who is actually working on your books is good practice.

What comes next

Adding your marketer is one step in getting BookFunnel ready. If you have not created the account yet, start with How to Set Up BookFunnel for Your ARC Campaign. Once your marketer has access, the next task is getting your book into the system, covered in How to Upload Your Book to BookFunnel and Turn On Watermarking. Frequently Asked Questions

Can’t my marketer just use my login?

They can, but it causes problems. Shared logins mean session conflicts, and a password reset locks the other person out. A team member invite gives your marketer their own access, keeps your billing private, and can be removed cleanly later. It is the safer setup for both of you.

Will my marketer be able to see my card or change my plan?

No. Team members cannot access your billing details, and they cannot change or cancel your subscription. Only you, the account holder, can make billing changes. Everything else on the account is open to them.

How do I remove my marketer later?

Go to your Account page, find their name in your team members, and remove their access. It takes effect immediately. This is worth doing at the end of a one-off campaign.

My marketer already has a BookFunnel account. Will that conflict?

No. When they accept your invitation, they can attach your account to their existing BookFunnel login, then switch between accounts. Send the invite to the email their existing account uses.

My marketer’s invite link stopped working. What now?

The invitation link is only valid for three days. Go to your Account page and click Resend next to the pending invitation, and BookFunnel will send a new link.
